Information we collect
We process personal information relating to enquiries, clients and individuals whose information is supplied in connection with our services. This may include contact details, identification documents, tax identifiers, financial and employment information, business ownership details, correspondence and instructions.
Information comes from you, our clients, authorised representatives, previous advisers, public registers, Revenue, the Companies Registration Office and relevant financial institutions or verification providers.
How and why we use information
We use personal information to:
- Respond to enquiries and provide agreed services, relying on our contract with you or steps you request before entering into one. Where the client is an organisation, we rely on our legitimate interests in providing services to it.
- Complete identity checks and meet legal obligations, including anti-money-laundering and statutory reporting requirements.
- Manage billing, records, security, professional compliance and legal claims, relying on our legitimate interests in operating and protecting our practice, balanced against your rights.
Where processing depends on consent, we explain this when obtaining it. You may withdraw consent without affecting the lawfulness of earlier processing.
If you do not provide information required by law or necessary for the engagement, we may be unable to provide our services.
Sharing information
Where necessary and lawful, we share relevant information with public authorities, professional regulators, insurers, advisers, authorised recipients and technology providers.
Technology providers include accounting, cloud storage, email, document management, identity verification and artificial intelligence services. These support our work, including preparing, reviewing and summarising documents, and may process relevant personal information for those purposes.
International transfers
Some service providers process information outside the European Economic Area, including in the United States.
The applicable provider arrangements use European Commission adequacy decisions or approved standard contractual clauses to protect personal information transferred outside the EEA, depending on the destination and service.
You can contact us for details of the safeguards applicable to your information and how to obtain a copy.
Retention
We generally retain:
- Client identification and anti-money-laundering due-diligence records for five years after we cease providing services or the last transaction with the client, whichever is later, unless longer retention is legally required.
- Accounting, tax and engagement records for seven years after the relevant financial period or engagement ends, whichever is later.
- Unsuccessful enquiry records for twelve months after the last meaningful contact.
Longer retention may be necessary for legal obligations, outstanding matters or legal claims. Records are securely deleted or destroyed when no longer required.
Your rights
Subject to applicable conditions, you may request access, correction, deletion, restricted processing or portability of your information. You may object to processing based on legitimate interests and withdraw consent where applicable. You may object to direct marketing at any time.
Contact us using the details above. We may need to verify your identity. We normally respond within one month and will explain any permitted extension. Legal obligations may require us to retain certain records.
We do not make decisions producing legal or similarly significant effects about you solely through automated processing.
You may complain to the Irish Data Protection Commission at www.dataprotection.ie.
Updates
We will update this notice when necessary and communicate material changes where required.
